Policies and Procedures
- All patrons of the UNC Charlotte Esports & Gaming Arena must agree to comply with UNC Charlotte rules, regulations, and policies (https://legal.charlotte.edu/policies) and Student Centers policies and procedures. Patrons must also comply with appropriate state and federal laws, and fire and police department rules and regulations. Student Centers staff reserves the right to take necessary and appropriate action to protect the safety and well-being of the arena, property within the arena, and the patrons who are using or visiting the arena.

- Stealing, defacing, mutilating, or destroying (or attempted destruction) of materials, buildings, property, equipment, or personal property. NCGS 14-455, NCGS 14-72, UNC Charlotte Code of Academic Integrity, and UNC Charlotte Code of Student Responsibility.
- Moving furniture or equipment in a way that interferes with the operation of the arena. This includes blocking safe travel into and through the building, or access to fire exits. University Policy 601.13.
- Disruptive behavior which disturbs arena use (including rowdiness, excessive noise, loud or inappropriate cell phone conversations, and offensive or inappropriate sexual behavior). UNC Charlotte Code of Student Responsibility. NCGS 14-132, NCGS 14-288.4, NCGS 14-190.9 , 14-196, 14-202,
- Smoking, using tobacco products, or using e-cigarettes/vaping. UNC Charlotte Policy 707.
- Failing to provide valid identification when requested to do so by a staff member. UNC Charlotte Policy 721.

All patrons are required to tap or scan their UNC Charlotte credential in order to access the Esports & Gaming Arena.
- Exceptions can be permitted by the Esports Program Director and/or Student Center Director for approved special events or group tours.
Food or open drink containers are not allowed in the arena or within its lounge space. Closed drink containers are permitted in the lounge area.
Use of arena computers is governed by the UNC Charlotte Standard for Responsible Use and local, state, and federal laws. These laws and policies cover such areas as illegal access to computer systems, networks, and files; copyright; and harassment.
Patrons are not permitted to share their credentials with individuals who would otherwise not have access to the PC stations or the arena.
Patrons are expected to access the PC stations with the same credentials used to tap or scan into the Esports & Gaming Arena space.
Patrons are expected to use the PCs as intended with the predownloaded software and games provided through the university’s gaming center management software, GGLeap.
Patrons are not permitted to personalize arena PC homescreens, alter any standard arena PC settings, or utilize the PCs for any other purpose other than gaming (examples include rendering, game development, video editing, etc.)
- Patrons are allowed to bring their personal equipment such as mice, keyboards, and headsets and are allowed to plug them into any station that they are using.
- Patrons should be advised that there is no guarantee that the peripheral software will be downloaded onto the PCs and the arena is not responsible for any damage incurred to any personal equipment while in the gaming & esports arena.
Patrons may use all arena provided peripherals at each station, however these peripherals may not be moved at any time, for any reason - and may not be used on any personal equipment brought into the arena (tablets, laptops, etc).
The iracing rig located in the esports & gaming arena is preloaded with licensed software, tracks, and paint schemes for Charlotte Esports. Patrons are not permitted to make purchases of any kind through the arena provided CLT Esports iracing account. This includes any tracks, DLC, or paint schemes for competitive, recreational, personal, or public use.
- Patrons on the iracing rig are not permitted to engage in messaging or chats of any form to other competitors through the iracing account - verified voice channels are permitted in official competitions for the Charlotte Esports iracing team or Niner Esports Club iracing team.
- Patrons are permitted and encouraged to login to their personal game accounts and software licences during play sessions.
- The arena and its staff will not be providing access or login credentials for any “loaner” accounts, outside of the CLT Esports iracing account for the iracing rig/simulator.
Reservations and Daily Time Limits
Official reservations of the arena and its stations are only to be made by the esports program director for Charlotte Esports Varsity teams, Niner Esports Club teams, or approved 3rd party collaborators.
- Charlotte Esports and Niner Esports Club teams may only reserve up to 10 PCs each at any given time for a maximum of a 3 hour block.
- Exceptions permitted by Esports Program Director and/or Student Center Director for tournaments or other special events.
During open hours, no PC may be reserved for anyone at any time, and are on a first come first serve basis.
- Each patron will be given 3 hours of PC usage upon entry to the arena. The patron may utilize their time as they wish, but be advised that the clock begins upon login through gg leap.
- If a patron exceeds their time limit when the arena is at 95% capacity or more, they may be asked to leave the arena so other patrons can use the space.
- They may not leave their station and try to recheck in for another hour.
If a patron exceeds their time while they are not at their station, arena staff will gently pack away their equipment and effects, and turn them into front desk lost and found.
Requesting Additional Games or Software
- Should there be any interest in adding software or other games into the approved software list for the arena, patrons may do so through leaving a feedback form available through a QR code at the front desk.
- Should any software be requested by 30 unique individuals within the time frame of 1 semester, said software will be reviewed and may be added by arena staff.
Patrons may request that peripheral software be added to the gaming stations.
Bags and Storage
Patrons are responsible for their personal belongings and should not block pathways or access to equipment with personal belongings.
- Lockers are provided at the entrance of the Gaming & Esports Arena.
Arena staff reserve the right to request that patrons place belongings in the storage lockers if belongings are blocking pathways or access to equipment.
All patrons of the Gaming & Esports Arena must agree to comply with the general operating rules that have been set to facilitate the proper operations of the facility. Failure to comply may result in action by the Esports Program Director or the Student Centers Director to deny arena use privileges to any individual or group.
Any damage to the facility due to the result of patron negligence or misconduct will be the responsibility of the patron to pay any associated fees or costs.
Students can be referred to Student Accountability & Conflict Resolution for violations of the Code of Student Responsibility for activity within and around the Esports & Gaming Arena.
- The Student Centers team reserves the right to take necessary and appropriate action to protect the safety and well-being of the patrons who are using or visiting the facility. Failure to comply with policies may result in summoning UNC Charlotte Police and prosecution in accordance with the law.
